Everything you need to know about VillaOps — from the basics and components, to signing up & logging in, to how each role manages things.
One system, four roles. Each role uses whichever surface is most convenient.
Owner of the management company account (who signed up)
Runs day-to-day operations
Field workers — no install, no typing
Owner/absentee owner — transparency without visiting
VillaOps is a Telegram-based villa operations platform. All field work — room inspections, daily tasks, turnover, guest tickets — runs through the Telegram your staff already have, and every piece of work produces tamper-proof photo + time + location (GPS) evidence.
Its flagship feature is Daily Room Inspection: a quick 1-tap checklist + a required photo → generates a daily Ready Score and an automatic report for the villa owner. There's also an AI Assistant you can ask via chat or voice note anytime, including for reporting issues just by speaking.
VillaOps replaces messy WhatsApp groups and paper notes. It ensures:
Villa managers in Bali (and similar properties) who need to demonstrate quality to owners — including owners who live far away (absentee/foreign). Any scale, from 1 villa to a large portfolio of villas/rooms.
The Web Console is a browser panel for Owner/Admin and Manager roles: managing villas & teams, creating tasks, verifying inspections, managing expenses & subscriptions, and generating owner reports. Accessed via login (no password) at villaops.studiokami.co.id.
The Telegram Bot (@VillaOpsSmartbot) is the main interface for field staff. Staff receive tasks as messages with buttons, take photos straight from the camera, and scan QR codes — all without typing and without installing a new app.
The Mini App (Telegram Mini App/TMA) is an in-app view that opens inside Telegram — for moments that need a richer screen: inspection checklists, photo galleries, the manager's task board, and forms. It stays inside Telegram, so no separate install.
All three are one system and one dataset — you choose whichever is most convenient for the role and moment.
On the sign-up page, choose the Telegram option and confirm via @VillaOpsSmartbot. Once verified, enter your company name → your trial account is created. This is convenient if you're mostly on Telegram.
Joining uses an INVITE CODE from a manager (not creating a new account):
No password. Go to /login and choose one of:
No. Staff work directly from Telegram (bot + Mini App) without needing to log in to the web. Web login is only for the Owner/Admin & Manager who manage things.
There are four roles (see the role cards above):
Via the Web Console: adding villas, inviting & managing managers/staff, managing subscription & billing, changing brand/settings, and viewing all reports across properties.
Managers use the Web Console and/or the Mini App.
All from Telegram — no install, no typing.
The villa owner gets read-only access to the portal/reports: Villa Health Report, Safety Report, daily Ready Score, and a before/after photo gallery — automatic, in their language, with no need to visit the site.
The daily inspection is the core ritual: a quick pass/fail checklist (~10–20 points) + 3–5 required "anchor" photos. The result is a Ready Score (e.g. 18/20) plus a gallery and list of findings. Failed items automatically become repair tickets (closed-loop).
This combination makes evidence hard to fake — the core of the "Verified" promise.
Yes. Paste iCal from Airbnb/Booking/tiket.com or a channel manager (including Traveloka) → turnover is generated automatically. No more "guest at the gate, villa not ready".
A single QR code in the room → the guest scans it → reports an issue/request (towels, late checkout, room service) with no app install. The request reaches the manager as a ticket.
The staff interface is in Indonesian; guest pages, the guidebook, and owner reports are automatically translated into the guest's/owner's language (e.g. English/Russian).
The AI Assistant is a chatbot inside Telegram you can ask anytime — by text or voice note — about your tasks, a villa's status, today's/tomorrow's/a specific date's guest check-in/check-out plans, assets that are due (fire extinguishers/servicing), villas not yet inspected, or how to use VillaOps features. Answers are based on your organization's live data, not guesses.
Yes. Staff simply send a voice note like "AC unit 2 in Villa A is leaking water" to the bot — it's automatically transcribed, summarized, and turned into a complete ticket with confirmation before it's sent. No lengthy typing needed, great for use while working.
Yes. A manager sends a voice note (e.g. "Villa A's guest is on the way from the airport, get ready") and the system automatically broadcasts it to the relevant staff — to one person if a name is mentioned, or to all staff at that villa if not.
Yes. Every completed task and report with photo evidence earns monthly Staff Points — a voice report followed up with a photo within 24 hours earns bonus points. This encourages staff to report quickly and completely.
A metric for managers: if a staff report goes without photo evidence for 24 hours, the system logs it as a supervision gap. The Supervision Quality score reflects how quickly a manager closes those gaps — separate from a villa's Ready Score.
Priced per room, starting at Rp 48k/room/mo (3 tiers: Inspection/Operations/Owner-Group). The more rooms, the cheaper per room. Minimum Rp 149k/villa/mo. No setup fee, no per-staff fee, no annual contract.
One Property (a location/complex) can contain any number of Villas — you're free to add as many Villas as you need. What's counted for billing isn't the number of Villas, but the number of Rooms (and non-room spaces like a restaurant or pool area) you register inside those Villas.
Example: the Property "Satwika Villas" contains Villa Satwika Anjani (1 room), Resto Satwika Dining (1 space unit), and Public Pool (1 space unit) — a total of 3 billed units, regardless of how many Villas you create.
Added rooms still need to be paid before use, but the amount is prorated for the remaining days in the current period — not a full month's price. For example, if a 30-day period at Rp30,000/unit is already 15 days in, adding 1 unit is billed only Rp15,000 for the rest of that period.
Starting the next period, regular billing is automatically recalculated at the full rate based on your latest room count.
Free for 1 month, up to 3 villas, no credit card. After the trial, continue with a paid subscription; otherwise the service is automatically paused.
For the first 20 sign-ups: 50% off for the lifetime of the subscription, in exchange for a case study + referral. Once the quota is used up, standard pricing applies.
Payment via gateway (virtual account/QRIS) with one combined monthly invoice. Your data can be exported anytime.
